The most effective communication improvement prompts are specific about the problem. A vague instruction like “make this shorter” gives AI too much room to cut the wrong things. A specific instruction that names the target length and what to preserve produces a much tighter result. The same applies to tone: naming the specific shift you want — removing filler language, softening the opening, making the ask clearer — produces better output than a general direction. Internal announcements, project update messages, escalation notes, and cross-team coordination messages are all good candidates for AI-assisted drafting. These messages need to be clear and accurate but do not typically involve sensitive relationship context that requires careful manual crafting. Routine meeting reminders, deadline notifications, and handoff instructions can also benefit — especially if you send similar versions repeatedly and can build templates.

What Stays Human-Led in Communication

Relationship-sensitive communication should remain primarily human-written. Messages to unhappy clients, sensitive employee feedback, conflict resolution, and anything involving personal circumstances require the kind of contextual judgment that AI cannot reliably provide. AI can help with a draft, but these messages need careful human review — both for accuracy and for the tone that the specific relationship requires.

The prompt: “Rewrite this internal announcement so it is under 100 words, leads with what is changing and when, and ends with exactly what employees need to do. Keep the date and the system name unchanged. Original: [paste announcement]”

What you get back: A tighter announcement with the change, the date, and the required action up front — the version people will actually read and act on.

Check before using: Verify the date, system name, and required action survived the rewrite exactly — shortening is where AI most often drops a detail that matters.
