What AI Can Extract From a Meeting

Given a transcript or detailed notes, AI can reliably extract: decisions made, action items with owners and deadlines (if mentioned), open questions that need follow-up, and a brief summary of what was discussed. It cannot reliably infer context that was not stated, interpret the significance of a remark that requires organizational knowledge, or accurately attribute actions when the speaker was ambiguous. Transcripts produce more reliable AI summaries than rough notes because they capture more context. If your meetings are recorded and transcribed, paste the transcript for the best output. If you only have rough notes, add a brief context line at the top of the prompt: describe the meeting type, duration, and teams involved. That context helps AI interpret ambiguous references more accurately.

Review Before Sending

AI meeting summaries should always be reviewed before they are shared. The most common errors are: misattributed action items (AI guesses the wrong owner), inferred deadlines (AI assumes a timeframe that was not explicitly stated), and missed nuance (a decision that was tentative gets written as final). A quick two-minute review against your own recollection of the meeting catches most of these errors before they create confusion.

What you get back: A structured recap with an action-item table — and because the prompt forbids inference, anything ambiguous shows up as “not stated” instead of a plausible guess.

Check before using: Compare the action-item owners against your own memory of who volunteered — misattributed owners are the most common error in AI meeting summaries.
