Most office professionals have processes they repeat regularly that live only in their heads — the way they handle a vendor invoice, run a weekly report, onboard a new team member, or process an internal request. When those people are out sick, promoted, or leave, the process either breaks or has to be rebuilt from scratch. AI can dramatically reduce the time it takes to document these processes before that happens.
Documenting a Process You Already Know
The easiest way to use AI for SOP creation is to describe a process you already do and let AI structure it. Describe what the process is for, then walk through the steps in rough plain-language order — imperfect and out of sequence is fine. A good SOP prompt asks AI to organize your description into numbered steps, note decision points, and flag exceptions. Review and correct the output against your actual practice, since AI will fill in gaps with reasonable assumptions that may not match your organization.
Creating Checklists From Existing SOPs
If you already have a process document, AI can extract a checklist from it efficiently. A checklist extraction prompt names the source document and the format you need — typically a single-page, step-verification list that someone can check off while doing the work. A checklist version of a longer procedure is often what people actually use in practice — it is faster to scan, easier to verify, and harder to skip a step accidentally.
Making Processes Easier to Train
When a process needs to be handed off to someone new, the documentation needs to assume no prior knowledge. AI can rewrite an existing SOP at a more accessible level. A plain-language rewrite prompt names the target audience (no familiarity with your systems or terminology), asks for jargon explanations to be added inline, and requests that common mistake points be flagged. This kind of rewrite makes training faster and reduces the need for repeated explanations.
Reviewing and Improving Existing Processes
AI can also help you identify gaps or inefficiencies in a documented process. Paste your existing SOP and ask AI to flag steps that seem redundant, instructions that are ambiguous, or steps that could be combined. AI will not know the organizational context that makes some steps necessary despite apparent redundancy — but it can surface things worth reconsidering, which makes the review faster than reading through the document alone.

The prompt: “I am going to describe how I process vendor invoices, roughly and out of order. Turn it into a numbered SOP with decision points marked as ‘IF’ lines, exceptions in a separate section at the end, and a one-page checklist version a new hire could follow. Flag any step where my description was unclear so I can fill the gap. My description: [describe the process]”
What you get back: A structured SOP plus a training-ready checklist — with the unclear steps flagged instead of papered over with plausible guesses.
Check before using: Run the checklist against the next real invoice you process — any step you do that is not on the list means the SOP is incomplete.
