Use This Checklist Before Automating a Business Workflow

AI can help small businesses draft, summarize, route, remind, and organize. Before automating a workflow, check whether the process is clear, the data is safe, and the right person remains responsible for review and approvals.

The Checklist

  • Workflow: Is AI supporting admin tasks, inbox/email, leads, CRM, scheduling, documents, invoices, support routing, SOPs, or no-code automation?
  • Trigger: Is the starting event clear, such as a form submission, email, calendar request, invoice date, or support message?
  • Data: Does the workflow use customer, financial, employee, legal, payment, or confidential business information?
  • Tool approval: Are the AI and automation tools approved for this workflow and data?
  • Review: Does a person review AI-generated messages, documents, invoices, proposals, or sensitive outputs before use?
  • Approval: Are payment, refund, discount, contract, hiring, legal, customer-impact, and financial actions approved by the right person?
  • Fallback: Is there an owner, error check, escalation rule, and manual backup if the automation fails?

The Rule

Use AI to support repeatable workflows, but keep people responsible for approvals, sensitive communication, customer trust, financial actions, legal obligations, and final decisions.
