Recruiting handoffs are where hiring speed goes to die. The recruiter knows the candidate’s status, the hiring manager owes feedback, the panel debrief lives in a chat thread, and the offer update sits in someone’s inbox. Nothing is lost exactly — but nothing is findable either, and every handoff costs a day.

This is a systems problem, and a good Step 3 use of AI: turn unstructured handoff notes into one consistent format with owners, deadlines, and next steps, so the workflow itself carries the information forward.

Build the Handoff Format Once

Define one structure every handoff converts into: where the candidate is in the process, what just happened, what happens next, who owns it, and by when. Ask AI to draft this template from your actual process stages, then use it unchanged for every handoff — consistency is the whole point. Anonymize as you go: stages and roles in the prompt, names and personal details only in your ATS or approved system.

The Daily Workflow

  • Paste raw handoff material — debrief notes, a feedback email, scheduling threads (personal details removed) — and ask AI to convert it into the template
  • Ask it to flag anything missing: no owner, no deadline, no decision recorded
  • Review the structured output, correct it, and post it where the team tracks hiring — not in the chat scroll
  • Recurring follow-ups (feedback owed, panel reminders, offer-stage updates) become a checklist AI re-drafts each morning from the open items

Keep the System Honest

  • The structured note is an operations record, not an evaluation — candidate assessments stay in your scorecard and ATS workflow
  • Sensitive triggers stop the workflow: anything touching accommodations, complaints, or legal risk routes to a qualified owner instead of the template
  • A person reviews every converted note — AI can mis-read who owns what, and an inaccurate handoff is worse than a slow one

Where Handoff AI Goes Wrong

Two failure modes. First, pasting whole email threads with candidate names, contact details, and evaluation comments into a general AI tool — the time saved is not worth the data exposure; strip identifying details first. Second, letting the AI summary become the system of record: the structured note points to decisions and owners, but the authoritative record stays in your ATS. If the summary and the system disagree, the system wins and the summary gets fixed.

Check before using: Confirm owners and deadlines with the people named before posting — AI infers ownership from messy notes and gets it wrong often enough to check every time.
