Summarizing Spreadsheet Data in Plain Language
One of the most immediately useful AI spreadsheet workflows is asking AI to explain what a dataset is showing. Copy the headers and a sample of the data into a prompt and ask for a plain-language interpretation — naming the data type, what you want to understand, and how many key takeaways you need. This kind of explanation is what a data-savvy colleague would give you in a two-minute conversation. AI can produce a similar output quickly, giving you a starting point for your own review.
Getting Help With Formulas
If you need to write a formula but are not sure how, describe what you want to accomplish in plain language. Include the column names, the calculation goal, and any edge cases to account for (like avoiding a divide-by-zero error). General-purpose AI chat tools handle spreadsheet formulas reliably. Always test the formula on a small sample before applying it to a full dataset.
Preparing Data for Presentation
When you need to turn a spreadsheet into something presentable — a chart, a summary table, a slide with key numbers — AI can help you decide what to include and how to frame it. A preparation prompt that names your dataset, your audience, and the format you are building toward (one-slide summary, executive briefing, department review) helps AI suggest what to highlight before you start building the visual. What AI Cannot Do With Spreadsheets
A general AI chat tool does not have access to your actual spreadsheet files unless you paste the data into the chat. It cannot run formulas, check for errors in a live file, or manipulate data directly. For those tasks, you either work in the spreadsheet directly or use an AI assistant that is built into your spreadsheet software, where your organization has approved one. Where that is not available, describe the problem clearly in plain language and let AI guide you through the solution.

The prompt: “In my spreadsheet, column B is ‘Orders received’ and column C is ‘Orders shipped on time.’ I need a formula for column D that shows the on-time percentage, formatted to one decimal place, and that shows a blank instead of an error when column B is zero. Explain what each part of the formula does.”
What you get back: A working formula with the divide-by-zero case handled, plus a plain-language explanation — so you learn the pattern instead of just pasting it.
Check before using: Test the formula on three rows where you can verify the percentage by hand — including one row where orders received is zero — before filling the whole column.
