AI for Office Professionals / Step 2

In-Depth Step 2 Guide

This is the in-depth Step 2 guide for the Office Professionals AI path. It covers how to use AI to compare options, organize pros and cons, summarize tradeoffs, and prepare decision-ready briefs.

Decision briefs — the documents that lay out options, tradeoffs, and a recommended path forward — are one of the most time-consuming things office professionals are asked to produce. Gathering the information, organizing it fairly, writing it clearly, and keeping it brief enough for a busy reader takes real effort. AI can compress the time spent on the structural and organizational work, freeing you to focus on the judgment about what the options actually mean.

Setting Up a Comparison

A good comparison brief starts with clear criteria — the factors that matter for this decision. AI can help you identify criteria if you are not sure where to start. A framework-building prompt names the decision type, the organization’s size and context, and asks AI to suggest the relevant evaluation categories. Add or remove criteria based on what your organization actually cares about, then use that framework to structure the comparison.

Organizing Pros and Cons

Once you have criteria and source information, AI can organize pros and cons across options efficiently. Paste the relevant information about each option and ask AI to organize it into a structured comparison across the criteria you identified. A structured comparison table is much faster to produce with AI than building it manually from scattered notes, and it makes tradeoffs much easier for a decision-maker to see at a glance.

Summarizing Tradeoffs

After the comparison is organized, the most valuable thing in a decision brief is a plain-language summary of the key tradeoffs. A tradeoff summary prompt asks AI to describe the main differences across options and which type of situation each is best suited for. This summary is where your own judgment about organizational context should be applied — review it carefully and revise anything that does not match your actual read of the situation.

Preparing the Brief for a Decision-Maker

Decision briefs for managers or leadership need to be concise, structured, and clear about what action is being recommended and why. A formatting prompt that names the audience, the length target, and the preferred structure (lead with recommendation, then comparison summary) helps AI produce a draft closer to what that reader needs. Review the output for accuracy and make sure the recommendation reflects your actual analysis, not just what AI inferred from the structure.

Example in Practice: Three Options, One Page

The prompt: “Here are my notes on three catering vendors for our quarterly all-hands: [paste notes per vendor]. Organize them into a comparison table across cost per person, minimum order, dietary options, and reliability based on what is in my notes. Then write a three-sentence tradeoff summary. Do not pick a winner — that is my call.”

What you get back: A one-page brief: clean comparison table plus a neutral tradeoff summary — everything the decision-maker needs, with the recommendation left to you.

Check before using: Confirm every cell traces back to your notes — AI fills empty cells with plausible values if you let it, and a wrong price in a comparison table travels far.
