A good handoff or status note closes that gap: it says what is done, what is open, what is blocked, and what the next person needs to know. Step-by-Step: Drafting a Handoff Note
- Dump the facts. List what is complete, in progress, and blocked, plus any figures, references, or deadlines the next person needs. Keep sensitive identifiers out of an unapproved tool.
- Name the audience and format. Tell the AI who will read this and the structure you want — for example, status / owner / next step / due date.
- Ask for a structured draft. Have the model organize your notes into the format, flagging anything that looks incomplete or ambiguous.
- Check every fact. Confirm figures, account references, and statuses against the source. AI can phrase a number cleanly and still get it wrong if your input was off.
- Tighten the tone for the audience. Plain language for cross-team notes; more detail for a peer continuing the work.
- Review before sending externally. Anything leaving the finance team gets a human read for accuracy and tone first.

Let AI handle the structure and the wording; keep the verification of every number and status firmly with a qualified person.

The prompt: “Turn these close notes into a handoff for the colleague continuing tomorrow. Use: Done / In progress / Blocked / Needs review, each with owner and next step. Notes: [paste].”
What you get back: A clean, scannable handoff that separates finished work from open items and flags the two reconciliations still needing review — so nothing falls through overnight.
Check before using: Verify the status of each item and any figures it cites before sending; a handoff that says “done” when it is not causes more harm than no note.
