The Hour Before the Meeting Decides the Meeting

Most sales meetings are won or lost before anyone joins the call. The salesperson who arrives knowing the account’s history, the customer’s stated priorities, the open issues from support, and the questions most likely to come up controls the conversation. The one who arrives with five minutes of skimming does not. AI can compress meeting preparation from an hour of digging into a focused review block — if it is grounded in your own approved account materials rather than the open internet.

Building an Account Brief from Your Own Records

The highest-value prep workflow is the account brief: a one-page summary assembled from CRM notes, past call summaries, open support tickets, recent email threads, and the account plan. Provide AI with those source materials and a fixed brief format — relationship history, current status, open commitments, known risks, and likely questions — and it can produce a reviewable draft in minutes. The salesperson’s job shifts from assembling information to verifying it: checking that every statement in the brief traces back to a real record, that nothing stale is presented as current, and that nothing sensitive is included that the meeting does not require.

Public research follows the same discipline. AI can help organize publicly available information about a company — announcements, leadership changes, published priorities — into a readable snapshot. But AI-generated company facts are prone to being outdated or simply wrong. Anything that will be said out loud in the meeting must be verified against the company’s own published materials first. A confident wrong fact in a meeting costs more credibility than no fact at all.

Preparing Questions, Not Scripts

AI is most useful preparing the questions you will ask, not the lines you will deliver. Give it the account context and ask for the gaps: what has not been asked yet, what changed since the last conversation, which assumptions in the account plan are unverified. A list of sharp, context-grounded questions makes the meeting a discovery exercise instead of a recital. Scripted AI talking points, by contrast, read as scripted — and collapse the moment the customer says something unexpected.

What Stays Out of the Prep Workflow

Meeting prep involves customer data, so the privacy boundary is not optional. Use approved tools only, provide the minimum account context the brief requires, and leave out payment details, contract pricing, personal information beyond business contacts, and anything from other customers’ accounts. Comparative context like “similar customers chose X” must come from approved, anonymized material — never from pasting another account’s records into a prompt.

The brief itself also gets a final human pass before the meeting: AI organizes, the salesperson owns what gets said. Anything in the brief that would embarrass the team if read aloud to the customer should not be in the brief.

Example in Practice: The One-Page Account Brief

The prompt: “Build a one-page account brief for tomorrow’s meeting from these materials: [paste CRM notes, last two call summaries, open ticket list]. Format: relationship history, current status, open commitments, known risks, five questions worth asking. Use only what is in the materials — mark anything uncertain as [VERIFY].”

What you get back: A structured brief where every line traces to a record you provided, plus a question list that targets the gaps in the account plan instead of reciting what you already know.
