What you need before using AI
- Lead notes or call summary — even rough notes work as a starting point.
- Approved product, service, or offer information to ground the follow-up message in accurate details.
- Any timing requirements, deal stage context, or prior communication history available in your CRM.
- A clear understanding of what promises, pricing, or commitments require manager review before sending.
Do not include sensitive customer financial data, contract terms, or private account details unless your organization’s approved tool is cleared for that data type.
Simple lead follow-up workflow
- Collect your lead notes, call summary, and any CRM context for this contact.
- Paste the notes into your approved AI tool along with approved product or service information.
- Ask AI to identify the lead’s primary interest, main objections, and most important next step.
- Ask AI to draft a follow-up message — specify tone, goal, and any limits on what can be promised.
- Review the draft for accuracy, tone, promise risk, and policy fit before sending anything.
- Remove or adjust any unsupported claims, pricing assumptions, or delivery commitments.
- Approve and send the final human-reviewed message.

- Does it make any pricing, delivery, refund, or outcome promises that have not been approved?
- Is the tone appropriate for this lead’s relationship stage and context?

Review-first rule
AI can help organize lead signals and draft follow-up messages, but people remain responsible for pricing commitments, customer promises, contract language, high-value account decisions, and final communication. Never send an AI-drafted message without a human review step.
Example in Practice: Re-Engaging a Quiet Lead
The prompt: “Help me draft a re-engagement message for review. Lead context: demo three weeks ago, lead asked about [feature], main concern was integration effort, no response to last email. Product details: [paste approved feature description]. Goal: restart the conversation with something useful, not a ‘just checking in.’ Tone: helpful, low-pressure. Limits: no pricing, no discounts, no deadlines.”
What you get back: A draft that leads with a concrete answer to the integration concern instead of a hollow nudge — a reason to reply rather than a reminder to.
Check before using: Confirm the feature description matches current capabilities and that nothing in the draft reads as a commitment about timeline or outcome.
