Use This Checklist Before You Use AI at Work

AI can help with many office tasks, but the workflow should still be clear, safe, and reviewed. Use this checklist before relying on AI output for workplace tasks.

The Checklist

  • Task: What office task should AI help with?
  • Input: What notes, email, document, meeting, or data will you provide?
  • Output: Do you need a draft, summary, checklist, table, plan, or brief?
  • Sensitivity: Does the input include confidential, customer, employee, legal, financial, or private information?
  • Review: Who checks the output before it is used?
  • Accuracy: What facts, numbers, names, dates, or sources must be verified?
  • Reuse: Can this become a template, prompt, or repeatable workflow?

The Rule

If the work affects customers, money, employees, legal issues, or company commitments, keep human review in the workflow. Run the checklist until it becomes automatic — after a few weeks, the seven questions take seconds, and they catch the problems that cost hours.

Example in Practice: The Checklist, Filled In

The prompt: “Task: turn my weekly notes into a status report. Input: my own rough notes, no client names. Output: a four-section report draft. Sensitivity: none after I remove the budget figure. Review: me, then my manager for the final version. Accuracy: the three project dates must match the tracker. Reuse: yes — save as my weekly template. Now draft the report from these notes: [paste]”

What you get back: The report draft — produced inside a workflow where sensitivity, review, and verification were decided before the AI ever saw the notes.

Check before using: Do the accuracy item last — verify the three dates against the tracker after drafting, because that is the step the checklist exists to enforce.
