A safety checklist is most useful when it is consulted before a problem occurs, not after one already has. This checklist is designed to be used before using AI output in any customer-facing or commercially significant sales and service workflow. Run through it when the stakes are high enough that an error would be noticed — which, in customer-facing work, is most of the time.

Before You Use the AI Output: The Core Check

The most important question before using any AI-generated output in a sales or customer service context is simple: would you be comfortable if your manager, your compliance team, or the customer themselves read exactly what AI produced, unedited? If the answer is no — or even uncertain — that is the signal to review more carefully before using it.

This question catches the most common problem with AI output in customer-facing work: confidence without accuracy. AI produces text that sounds correct and professional, which makes it easy to send without fully reading. The checklist below provides the specific areas to check so that review is systematic rather than a quick skim.

Accuracy and Factual Claims

Check every factual claim in the output against what you know to be true. Verify names, company names, and account details are correct for this customer. Confirm product feature descriptions match current capabilities — AI may describe features that have changed or that do not exist in the customer’s tier. Check that any statistics, case study references, or performance claims are documented and sourced rather than AI-generated estimates. Remove or qualify any claim you cannot personally verify.

Pay particular attention to numbers: pricing figures, implementation timelines, performance benchmarks, and refund or resolution timelines are all areas where AI commonly produces plausible-sounding but unauthorized language. Every specific number in an AI draft should have a verified source before the draft is sent.

Privacy and Data Handling

Confirm that no sensitive customer information was included in the AI prompt beyond what the task required. Check the output for any customer data that should not appear in the response — payment details, account numbers, private case history, or personal information not relevant to the communication. Verify that the tool used to generate the output is approved for the type of customer data involved. If you are not certain about tool approval status, check before using the output externally.

Tone and Customer Fit

Read the output from the customer’s perspective, not from the perspective of someone who already knows the answer. Does the message actually address what the customer asked? Is the tone appropriate for the severity of their situation — not too casual for a serious complaint, not too formal for a routine question? Does it acknowledge the customer’s frustration or concern before moving to a resolution, or does it jump straight to the answer in a way that feels dismissive? AI defaults to a generic professional tone; real customer communication often requires something more specific to the moment.

Promise and Commitment Review

Identify every statement in the AI output that could be interpreted as a commitment: timelines, outcomes, features, pricing, service levels, exceptions, or next steps. For each one, confirm that it is authorized — that you or someone with appropriate authority has the standing to make that commitment to this customer. Remove or qualify any language that implies a commitment that has not been reviewed and approved. A customer who receives a specific promise in writing will hold the company to it.

Escalation Check

Before sending the AI-assisted output, confirm that this situation does not require escalation. Is the customer expressing distress, urgency, or legal intent? Does the situation involve billing, refunds, contracts, or sensitive account decisions that require approval? Has this issue recurred without resolution? Is there information in the customer’s history that the AI draft did not account for but that affects what the appropriate response is? If any of these apply, escalate before responding — even if the AI draft looks complete and professional.

Final Review Standard

The standard for all AI-assisted customer communication is that it should read as if a knowledgeable, accountable person on your team wrote it after reviewing the full customer context. AI drafts the message; a human takes responsibility for its accuracy, tone, and appropriateness before it reaches the customer. This division of labor — AI for speed, human for accountability — is what makes AI-assisted sales and service work both efficient and trustworthy.

Example in Practice: The Two-Minute Pre-Send Check

The prompt: “Before I review this customer reply myself, check it against five areas and list anything questionable: factual claims and numbers, customer data that should not appear, tone fit for an upset customer, promise or commitment language, and escalation signals. Reply draft: [paste draft]. Customer situation: [one-line summary].”

What you get back: A flagged list — the unverified timeline, the account detail that leaked into the reply, the commitment phrasing — that makes your own two-minute review systematic instead of a skim.

Check before using: The AI check supplements your review; it does not replace it — the final accountability question is still whether you would stand behind every sentence with your name on it.
