Use This Checklist Before AI Touches Work

Before using AI in a workplace, pause long enough to check the risk. The goal is not to block useful AI. The goal is to make sure the tool, data, output, and review process match the task.

The Quick Checklist

  • Data: Does the prompt include private, confidential, regulated, or customer information?
  • Tool: Is this AI tool approved for this kind of work?
  • Purpose: Is AI being used for drafting, analysis, decision support, or automated action?
  • Review: Who checks the output before it is used?
  • Verification: What facts, sources, numbers, or claims need checking?
  • Permissions: Can the AI access systems, files, tools, APIs, or customer data?
  • Accountability: Who owns the final decision or message?

When to Escalate

Escalate before using AI for customer-facing answers, legal or financial claims, hiring, health, regulated work, security decisions, or automated actions. These uses need stronger review and approval.
