Standard operating procedures and manufacturing change notices are controlled documents. They carry engineering accountability, safety implications, and regulatory exposure. AI can accelerate the drafting phase — organizing inputs, structuring sections, and preparing reviewable first drafts — but the validation, approval, and release of SOPs and MCNs must remain under qualified human authority. Automation supports the documentation process; it does not replace the engineering and safety review that makes these documents reliable.
Using AI for SOP Drafting
For SOP drafting, provide AI with the relevant source material: existing procedures, equipment manuals, operational notes, and the specific workflow the SOP will govern. Ask AI to organize this into a structured draft with numbered steps, safety callouts, and sign-off fields — then route the draft through your standard SOP review and approval workflow. The AI-generated draft is a starting point that reduces blank-page effort, not a finished document that bypasses review.
Using AI for MCN Narrative Support
For manufacturing change notices, AI can help structure the narrative section — describing the change, its scope, the affected systems, and the review status — while engineers and change managers complete the technical fields that require domain expertise. A well-structured MCN narrative reduces back-and-forth during the review cycle and improves change record quality without shifting accountability away from the change originator.
What Must Stay Out of SOP and MCN Prompts
Keep calibration values, tolerance specifications, critical process parameters, and safety-critical equipment data out of AI prompts. Reference them by category and verify them manually against your engineering records during document review. AI-assisted SOPs and MCNs that contain unverified technical values are more dangerous than rough drafts — because reviewers may not notice that a value is AI-generated rather than pulled from an authoritative source.
Example in Practice: An SOP Draft Routed for Review
The prompt: “Source material for an SOP on [WORKFLOW]: existing procedure, equipment manual excerpts, operational notes [PASTE]. Draft a structured SOP with numbered steps, safety callouts, and sign-off fields. Reference calibration/tolerance values by category as [PLACEHOLDER] — do not generate them.”
What you get back: A structured SOP first draft ready for your standard review-and-approval workflow, with technical values left as placeholders for engineering to fill from authoritative records.
Check before using: Engineering and safety verify every step and every technical value against source records before the SOP is released.
